Privacy Policy
Prentis Technologies, Inc. ("Prentis," "Company," "We," "Our," "Us") respects your privacy and is committed to protecting it through our compliance with this Privacy Policy ("Privacy Policy" or "Policy"). This Policy describes the types of information we collect when you access, use, or register with our website, mobile application, software, and related services (collectively, the "Services"), and our practices for collecting, using, maintaining, protecting, and disclosing that information.
Prentis operates a skilled trades recruiting platform that uses artificial intelligence to verify hands-on skills, aggregate performance and certification data, facilitate pre-hire employer-sponsored training, provide a learning platform for skilled trade education, and connect qualified candidates with employers. Given the nature of our Services, we collect and process significant amounts of personal and performance-related data. This Policy is designed to provide you with clear, comprehensive information about those practices.
Prentis also operates the Prentis Field Diagnostic Platform, an AI-powered mobile application that provides real-time informational diagnostic guidance to HVAC technicians and apprentices (each, a "Subscriber"). The field diagnostic services collect additional categories of data, including voice recordings and transcripts, images, and equipment information, as described in this Policy.
Please read this Policy carefully. By using or registering with our Services, you agree to this Privacy Policy. If you do not agree, do not access or use the Services. Your continued use of the Services after changes to this Policy constitutes acceptance of those changes.
1. Applicability
This Privacy Policy applies to all users of the Services, including Candidates (individuals seeking employment in the skilled trades), Employers (companies seeking to hire skilled trades professionals), Instructors (independent contractors who provide training through the platform), and Subscribers (individuals who use the Prentis Field Diagnostic Platform). An individual may hold more than one user type. Certain provisions may apply differently depending on your user type, as specified herein.
This Privacy Policy does not apply to third-party applications, websites, or services that integrate with or are accessible through the Services ("Third-Party Services"). Third-Party Services are governed by their own privacy policies, and we encourage you to review them before providing any information.
2. Information We Collect
We collect information in three ways: (a) information you provide directly, (b) information collected automatically, and (c) information obtained from third-party sources.
2.1 Information You Provide to Us
(a) Account Information. When you register for the Services, you provide your name, email address, and other information required during the registration process.
(b) Profile and Onboarding Information. Candidates provide additional information during onboarding, including zip code, prior experience with tools, employment history, educational background, and other information relevant to skilled trades employment.
(c) Assessment and Training Data. When you participate in assessments, quizzes, simulations, and training activities through the Services, we collect your responses, scores, and performance data.
(d) Video, Photo, and Audio Submissions. Candidates may upload or record video and photo evidence of hands-on work for skills verification purposes. The platform may also capture audio transcripts of platform interactions, including simulated customer service and workplace communication scenarios.
(e) Certification and Credential Information. Candidates provide documentation of certifications (such as EPA-608, OSHA-10, OSHA-30), licenses, and other credentials, which we review for authenticity and may cross-reference with authorized certification bodies. We may, at our discretion, review copies of these documents during the verification process, after which such copies are not retained beyond the period reasonably necessary for verification.
(f) Communications. We collect the content of messages you send through the Services, including communications with instructors, support requests, and any correspondence with us via email or other channels.
(g) Instructor Information. Instructors provide professional qualifications, contact information, and other information necessary to deliver training services as independent contractors.
(h) Employer Information. Employers provide company information, position requirements, workplace conditions, and hiring criteria through the platform and pursuant to their Master Services Agreement ("MSA") with Prentis.
2.2 Information Collected Automatically
(a) Usage Data. We automatically collect information about how you access and use the Services, including pages visited, features used, time spent on the platform, clickstream data, and referring URLs.
(b) Device Information. We collect information about the device you use to access the Services, including device type, operating system, browser type, unique device identifiers, IP address, and mobile network information.
(c) Cookies and Similar Technologies. We use cookies, web beacons, pixels, and similar tracking technologies to operate the Services, remember your preferences, and collect usage data. You may disable cookies through your browser settings, but doing so may limit certain features of the Services.
(d) Analytics Tools. We use third-party analytics services, including Google Analytics (GA4), MixPanel, and Amplitude, to analyze usage patterns and improve the Services. These tools may collect information about your use of the Services using cookies and similar technologies. For more information about how Google uses data, visit Google's privacy policy.
(e) Advertising Technologies. We use advertising platforms to drive traffic to the Services. These platforms may use cookies, pixels, and similar technologies to deliver targeted advertisements and measure their effectiveness. These advertising technologies are used, if at all, only in connection with the Prentis Pre-Hire Training Program, and not the Prentis Field Diagnostic Platform.
2.3 Information from Third-Party Sources
(a) Background Checks and Screening. As part of the employer-sponsored pre-hire process, we may obtain background check reports, drug screening results, and motor vehicle records from authorized third-party vendors, subject to your consent and in compliance with the Fair Credit Reporting Act ("FCRA") and applicable state law. Prentis reserves the right to select and change third-party screening vendors at its sole discretion without notice.
(b) Certification Bodies. We may cross-reference certification and credential information you provide with authorized third-party certification bodies to verify authenticity.
(c) Publicly Available Information. We may collect information from publicly available sources to supplement the information you provide.
2.4 Field Diagnostic Platform Information
(a) Diagnostic Conversation Data. When you use the field diagnostic services, we collect the content of your interactions with the AI, including text and, when voice features are enabled, voice recordings and transcripts.
(b) Audio and Voice. When you enable voice features, we record and transcribe audio. Audio captured while voice features are active may incidentally include the voice of other persons present; your recording of others is governed by your obligations in the Terms of Use, and you are responsible for obtaining any legally required consents.
(c) Images. We collect photos and images you submit, and periodic still images captured through compatible third-party devices such as smart glasses. Use of smart glasses or other third-party capture devices is optional and at your choice; these devices are made by third parties, not Prentis. We collect images, and where applicable audio, from such a device only if you choose to use one. Images captured through smart glasses or submitted by you may include views of customer property and residential interiors; Prentis processes these images solely to generate diagnostic guidance and does not share them other than with the artificial intelligence and infrastructure providers described in Section 4.
(d) Equipment Information. We collect information about equipment discussed or identified during a session, such as make, model, configuration, and readings you provide.
(e) Professional Attestation Responses. We collect the responses you provide in the professional attestation during onboarding.
(f) Subscription and Payment Information. Subscription payments are processed through the Apple App Store or Google Play Store via RevenueCat, and in the future may be processed via Stripe. We receive subscription and transaction identifiers and status; we do not collect or store full payment card numbers.
(g) Referral and Feedback Credit Data. We collect information related to your participation in the referral and feedback credit programs.
(h) No Biometric Identifiers. Prentis does not use voice recordings or images to identify any individual, and does not extract, generate, or store biometric identifiers such as faceprints or voiceprints. Audio and images are processed only to generate diagnostic guidance based on their content.
2.5 Incidentally Captured Information About Non-Users. Prentis does not intentionally collect personal information from individuals who are not users of the Services. If another person's voice is incidentally captured while a Subscriber uses voice features, that audio and any resulting transcript are processed solely to generate diagnostic guidance for the Subscriber and are subject to the same retention limits as the Subscriber's Diagnostic Conversation Data. Prentis does not use incidentally captured third-party voice data to identify any individual, does not use it to train or evaluate artificial intelligence models, and does not use it for any purpose beyond generating the Subscriber's diagnostic guidance. An individual whose information was incidentally captured may request deletion by contacting support@prentis.co.
3. How We Use Your Information
We use the information we collect for the following purposes:
(a) Providing the Services. To create and manage your account, deliver the Services, facilitate assessments, training, simulations, and employer matching, and communicate with you about the Services.
(b) AI-Powered Skills Verification. To analyze uploaded video and photo evidence of hands-on work, evaluate quiz and test responses, review submitted documentation for authenticity, cross-reference credentials with known sources of truth, and assess candidate readiness using artificial intelligence and machine learning technologies, which may evolve over time as the Company adopts new or improved methods at its discretion.
(c) AI-Assisted Instruction. To provide AI-powered teaching assistance that augments live instruction, and to facilitate simulated on-the-job scenarios for customer service and workplace communication training.
(d) Candidate Evaluation. To evaluate candidates using collected signals, including assessment scores, simulation performance, training completion, and credential verification, to understand likelihood of success once hired. These evaluations inform — but do not solely determine — whether a candidate is presented to an employer for interview. The legal basis for this processing is our legitimate interest in operating our recruiting platform and providing effective matching services, and your consent provided when you create an account and submit to evaluations.
(e) Performance Data Aggregation. To aggregate candidate performance data, including assessment scores, simulation grades, certification records, and training completion data, into candidate profiles for presentation to employers.
(f) Employer Matching. To share candidate profiles with employers on the platform for recruiting purposes. Candidate profiles include aggregated grades and scores derived from raw performance data; raw data (such as video recordings, audio transcripts, and individual quiz responses) is not shared with employers.
(g) Background Screening. To facilitate background checks, drug screenings, and motor vehicle record checks on behalf of employers as part of the pre-hire process, in compliance with the FCRA and applicable state law.
(h) Platform Improvement (Pre-Hire Training Program). To analyze usage patterns, conduct research and development, improve the Services, and develop new features.
(i) Communications. To send service-related messages, including account confirmations, technical notices, security alerts, support messages, and updates about the Services.
(j) Advertising and Marketing. To deliver targeted advertisements, measure advertising effectiveness, and send promotional communications. You may opt out of marketing emails by following the unsubscribe instructions in any marketing email or by contacting us at support@prentis.co. This applies to the Prentis Pre-Hire Training Program only; data collected through the Prentis Field Diagnostic Platform is not used for advertising or marketing.
(k) Legal Compliance. To comply with applicable laws, regulations, legal processes, and government requests, and to enforce our Terms of Use, MSA, and other agreements.
(l) Safety and Security. To protect the safety, rights, and property of Prentis, our users, and the public, including detecting and preventing fraud, abuse, and security incidents.
(m) Field Diagnostic Guidance. To generate real-time, informational AI diagnostic guidance and troubleshooting for Subscribers based on the inputs they provide.
(n) Subscription and Program Administration. To administer subscriptions, free trials, billing, cancellations, and the referral and feedback credit programs.
(o) Field Diagnostic Platform Improvement. To improve the field diagnostic services, including through Subscriber feedback submissions.
(p) AI Development and Evaluation. To evaluate, test, and improve the Platform's AI Technologies. Prentis improves the field diagnostic services primarily by refining prompts and adding safeguards in response to feedback, and by testing with synthetic scenarios; Prentis does not currently use identifiable diagnostic conversation data, voice recordings, or images to train or fine-tune artificial intelligence models. Prentis may in the future use data to train, fine-tune, or evaluate models; where it does so it will use de-identified or aggregated data, and if it uses identifiable data for these purposes it will update this Policy and provide any choices required by applicable law.
4. How We Share Your Information
We may share your information in the following circumstances:
4.1 With Employers
If you are a Candidate, your profile information — including aggregated assessment scores, simulation performance grades, certification records, training completion data, and limited onboarding information (such as name, zip code, indicated prior experience, and employment or education background) — is shared with employers on the platform for recruiting purposes. Your profile is currently shared as a complete package; you may not selectively hide individual data points at this time. By using the Services, you consent to this sharing. Prentis retains the right to share candidate profile data with employers in any format deemed appropriate to fulfill the recruiting purposes of the platform.
4.2 With Screening Providers
We share personal information with authorized third-party vendors who conduct background checks, drug screenings, and motor vehicle record checks on our behalf, subject to your consent and in compliance with the FCRA.
4.3 With Certification Bodies
We may share certification and credential information with authorized third-party certification bodies for verification purposes.
4.4 With Service Providers
We share information with third-party service providers who process data on Prentis's behalf to operate the Services. These providers include, for artificial intelligence processing, Google LLC (Gemini API), which processes diagnostic conversations, voice, and images to generate guidance; for hosting, infrastructure, and database services, Supabase, Microsoft Azure, Vercel, Railway, and Qdrant; for authentication, Twilio; for payments and app distribution, RevenueCat, Apple Inc., Google LLC (Google Play), and Stripe; and for analytics and monitoring, Google Analytics (GA4), Mixpanel, Amplitude, and Sentry. To provide the field diagnostic services, diagnostic conversation data, including voice recordings, transcripts, text inputs, submitted images, and equipment information, is transmitted to Prentis's artificial intelligence and infrastructure providers for real-time processing to generate guidance. Each provider processes the data Prentis sends it under that provider's agreement with Prentis and is not authorized to use that data to train or improve its own models or for any purpose other than providing the Services; Prentis uses providers that are contractually committed to these restrictions. A provider may retain and process limited data for a short period only as necessary to provide requested service features (such as briefly caching session data to allow a session to be resumed or reconnected), secure its services, detect and prevent abuse or policy violations, and comply with applicable law. Each provider also operates under its own terms and privacy policy, which govern that provider's independent data practices, and we encourage you to review them. Prentis does not control or monitor those independent practices, including any retention a provider applies under its own policies.
4.5 With Analytics and Advertising Partners
We share usage data with analytics providers (Google Analytics, MixPanel, Amplitude) and advertising platforms to analyze usage patterns, improve the Services, and deliver targeted advertisements. This data is aggregated or anonymized where possible. The Company reserves the right to engage additional or alternative advertising and analytics partners at its sole discretion without prior notice. Users who wish to limit certain advertising-related data sharing may consult industry opt-out tools, though the availability and effectiveness of such tools are not guaranteed by the Company. This analytics-and-advertising sharing applies to the Prentis Pre-Hire Training Program only and describes practices Prentis may use; Prentis does not use or disclose data collected through the Prentis Field Diagnostic Platform for advertising.
4.6 With Government Agencies
We may share information with government workforce agencies in the future, if required or permitted by law. We will update this Policy before any such sharing begins.
4.7 Business Transfers
In connection with a merger, acquisition, reorganization, sale of assets, or bankruptcy, your information may be transferred to the acquiring entity. We will notify you of any such transfer and any changes to this Policy.
4.8 Legal Requirements
We may disclose your information if required by law, regulation, legal process, or government request, or if we believe disclosure is necessary to protect the rights, property, or safety of Prentis, our users, or the public.
4.9 With Your Consent
We may share your information for any other purpose with your consent.
4.10 No Sale of Personal Information
We do not sell your personal information to third parties for monetary consideration. For the purposes of this Policy, "sell" means disclosing, sharing, or transferring personal information to a third party for monetary or other valuable consideration, excluding sharing with service providers, employers, and screening providers as described above.
We also do not share personal information for cross-context behavioral advertising, as that term is defined under the California Consumer Privacy Act. Diagnostic conversation data, voice recordings, images, and equipment information collected through the Prentis Field Diagnostic Platform are not used or disclosed for targeted or cross-context behavioral advertising.
4.11 Third-Party Hardware Providers
Data collected independently by third-party hardware manufacturers (such as smart-glasses makers) is governed by those manufacturers' own privacy policies and is not controlled by Prentis.
4.12 Cross-Product Data
The Prentis Pre-Hire Training Program and the Prentis Field Diagnostic Platform currently maintain separate data stores, and Prentis does not automatically share data between them. Before enabling any feature that would make data from one product visible to users or entities of the other, Prentis will update this Policy, provide at least 30 days’ notice, and, where the sharing would make data visible to employers or other third parties, obtain the affected user’s affirmative opt-in consent, consistent with the Terms of Use.
5. Artificial Intelligence and Automated Decision-Making
5.1 Use of AI Technologies. Prentis uses artificial intelligence, machine learning, and automated decision-making technologies ("AI Technologies") throughout the Services. AI Technologies are used for skills verification, candidate evaluation, instructional assistance, simulation facilitation, credential review, and other purposes described in this Policy and our Terms of Use.
5.2 Data Inputs. AI Technologies process a wide range of data inputs, including video and photo submissions, audio transcripts, quiz and assessment responses, simulation interactions, certification documents, and other information you provide through the Services.
5.3 Human Oversight. AI-assisted evaluations are used to inform — but do not solely determine — whether a candidate is presented to an employer for interview. Human review is incorporated into the evaluation process. No candidate is excluded from consideration based solely on an automated decision without human oversight.
5.4 Limitations. AI Technologies are not infallible. Prentis does not guarantee the accuracy, completeness, or reliability of any AI-generated output, assessment, evaluation, or recommendation.
5.5 Right to Contest. If you are a Candidate and believe that an AI-assisted evaluation or verification was inaccurate, you may request a human review by contacting us at support@prentis.co.
5.6 State and Local Compliance. Prentis is committed to compliance with applicable federal, state, and local laws governing the use of AI and automated decision-making in employment and recruiting contexts, including but not limited to the Illinois Artificial Intelligence Video Interview Act, New York City Local Law 144, the Colorado Artificial Intelligence Act, and any other applicable regulations. Where required by law, we will provide additional notices, conduct bias audits, or obtain additional consent. Such notices or consent mechanisms will be provided separately as required.
5.7 Field Diagnostic Artificial Intelligence. The Prentis Field Diagnostic Platform uses AI Technologies to generate informational diagnostic guidance based on the inputs a Subscriber provides. This guidance is informational only, and the human technician makes all service decisions; the field diagnostic services do not make automated decisions that produce legal or similarly significant effects concerning any individual (such as decisions about employment, credit, housing, insurance, or healthcare). Where required by applicable law, Prentis discloses that a user is interacting with a generative artificial intelligence system. Diagnostic conversation data, voice recordings, and images collected through the Prentis Field Diagnostic Platform are not used by Prentis for employment decisions, credit determinations, insurance underwriting, housing or tenant-screening decisions, or any other purpose that produces legal or similarly significant effects concerning any individual.
6. Background Checks and FCRA Compliance
This section applies to the Prentis Pre-Hire Training Program only.
6.1 Consumer Reports. To the extent that any background check, drug screening, or motor vehicle record check constitutes a "consumer report" under the Fair Credit Reporting Act ("FCRA"), Prentis and/or its authorized third-party screening providers will comply with all applicable FCRA requirements.
6.2 Disclosure and Authorization. Before procuring any consumer report, we will provide you with a standalone FCRA disclosure and obtain your written authorization, as required by law.
6.3 Adverse Action. If information in a consumer report is used as a factor in any adverse decision regarding your candidacy, we will comply with all applicable adverse action notice requirements under the FCRA and applicable state law, including providing you with a copy of the report and a summary of your rights.
6.4 Disputes. If you believe that any screening result is inaccurate, you may dispute the result by contacting us at support@prentis.co. We will work with the applicable screening provider to investigate and resolve the dispute in accordance with applicable law.
6.5 Informational Purpose. Screening results are used for assessment purposes only and do not prohibit you from independently seeking employment with any employer, whether or not you are selected for interview through the Prentis platform.
7. Data Retention
We retain personal information for as long as necessary to fulfill the purposes for which it was collected, including to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. Specific retention periods include:
(a) Account Information. Retained for as long as your account is active and for such period thereafter as is required to satisfy applicable legal and regulatory obligations.
(b) Assessment, Training, and Simulation Data. Retained for as long as your account is active and for such period thereafter as is required by applicable law, as this data forms part of your candidate profile.
(c) Video, Photo, and Audio Submissions. Retained for as long as necessary to complete the verification and evaluation process, and for a reasonable period thereafter.
(d) Background Check and Screening Data. Retained in accordance with FCRA requirements and applicable state law.
(e) Analytics and Usage Data. Retained in aggregated or anonymized form for as long as necessary for platform improvement purposes.
(f) Diagnostic Conversation Data (including voice recordings and transcripts): retained while your account is active and for twelve (12) months after account deletion or subscription cancellation, after which it is deleted.
(g) Field Images (Subscriber-submitted and smart-glasses-captured): retained while your account is active and for ninety (90) days after account deletion or cancellation, after which they are permanently deleted.
(h) Usage Analytics and Device Data: retained in aggregated or anonymized form indefinitely; individually identifiable usage and device data is deleted within twelve (12) months of account deletion.
(i) Professional Attestation Records: retained while your account is active and for thirty-six (36) months after account deletion.
(j) Referral and Feedback Credit Records: retained while your account is active and for twenty-four (24) months after account deletion.
De-Identified and Aggregated Data. Notwithstanding the periods above, Prentis may retain de-identified or aggregated data derived from any category of information indefinitely for product development, analytics, and improvement of its AI Technologies, provided that such data is maintained in a form that does not reasonably identify any individual.
When we no longer have a legitimate business need to retain your personal information, we will delete or anonymize it. If deletion is not immediately possible (for example, because information is stored in backup archives), we will securely store and isolate the information until deletion is possible.
You may request deletion of your data at any time, subject to these retention periods. Data subject to a legal hold, pending dispute, or regulatory requirement will be retained until the hold is released. Deletion requests for data already shared with third parties (such as Employers who accessed Candidate profile data) are subject to those third parties' own retention and deletion policies.
8. Data Security
Prentis implements reasonable administrative, technical, and physical security measures to protect your personal information from loss, misuse, unauthorized access, disclosure, alteration, and destruction. These measures may include, as appropriate, encryption of data in transit and at rest and access controls. Voice recordings and field images collected through the field diagnostic services are subject to these security measures.
However, no method of transmission over the Internet or method of electronic storage is completely secure. We cannot guarantee the absolute security of your information. You are responsible for maintaining the confidentiality of your account credentials and for notifying us immediately at support@prentis.co if you believe your account has been compromised.
Breach Notification. In the event of a security incident involving unauthorized access to, or acquisition or disclosure of, personal information, Prentis will investigate the incident and will notify affected individuals and applicable regulatory authorities as, and within the timeframes, required by applicable data breach notification laws.
9. Your Rights and Choices
9.1 All Users
The rights described in this section apply to all user types, including Subscribers, and extend to personal information collected through the Prentis Field Diagnostic Platform. Account deletion requests are subject to the retention periods described in Section 7.
(a) Account Deletion. You may request deletion of your account by contacting us at support@prentis.co or through your account settings. Upon deletion, we will remove or anonymize your personal information, subject to our retention obligations under applicable law.
(b) Access and Correction. You may access and update your personal information through your account settings or by contacting us at support@prentis.co.
(c) Marketing Opt-Out. You may opt out of marketing communications by following the unsubscribe instructions in any marketing email or by contacting us. You will continue to receive transactional and service-related communications.
(d) Cookie Preferences. You may manage cookie preferences through your browser settings. Disabling cookies may limit certain features of the Services.
9.2 California Residents (CCPA/CPRA)
If you are a California resident, you have the following rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act:
(a) Right to Know. You may request that we disclose the categories and specific pieces of personal information we have collected about you, the categories of sources, the business purposes for collection, and the categories of third parties with whom we share your information.
(b) Right to Delete. You may request that we delete personal information we have collected from you, subject to certain exceptions.
(c) Right to Correct. You may request that we correct inaccurate personal information.
(d) Right to Opt Out of Sale/Sharing. We do not sell your personal information. If our practices change, we will provide a "Do Not Sell or Share My Personal Information" mechanism.
(e) Right to Non-Discrimination. We will not discriminate against you for exercising your CCPA/CPRA rights.

9.3 Residents of States with Comprehensive Privacy Laws
If you reside in a state with a comprehensive consumer privacy law (such as Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, or other states that have enacted similar legislation), you may have additional rights, including the right to access, correct, delete, and obtain a copy of your personal information, and the right to opt out of targeted advertising, profiling, and the sale of personal information. 9.4 European Economic Area Residents (GDPR)
The Services are offered and intended for use only within the United States, and Prentis does not target or market the Services to residents of the European Economic Area or the United Kingdom. The following provisions are included as a precaution for any United States-resident user who may nonetheless be covered by the General Data Protection Regulation. If you are a resident of the European Economic Area, you have the following rights under the General Data Protection Regulation:
(a) Access, correction, deletion, restriction, portability, and objection rights with respect to your personal data.
(b) The right to withdraw consent at any time, without affecting the lawfulness of processing conducted prior to withdrawal.
(c) The right to lodge a complaint with your local data protection authority.

10. Children's Privacy
The Services are not directed to children under the age of 18. We do not knowingly collect personal information from anyone under 18 years of age. If we learn that we have collected personal information from a child under 18, we will promptly delete that information. If you believe a child under 18 has provided personal information to us, please contact us at support@prentis.co.
11. Third-Party Links and Services
The Services may contain links to or integrations with Third-Party Services, including certification body websites, employer websites, third-party hardware manufacturers (such as smart-glasses makers), app stores (Apple App Store and Google Play Store), and other external platforms.
